  2. 02Item inspectedCondition is checked against the original item.
  3. 03Grade recordedNew, like new, used, damaged, missing parts or wrong item.
  4. 04Disposition chosenRestock, refurbish, liquidate, donate or write off.
  5. 05Data fed backThe outcome is linked to the customer and the order.
Warning signs
  • The same customer's returns graded as used again and again
  • Wrong-item or missing-part notes tied to one identity
  • High write-off rates on specific SKUs or categories
  • Grades that contradict the customer's stated return reason

What is warehouse disposition data?

Warehouse disposition data is what the warehouse records about a returned item’s condition and what happens to it next. It’s the ground truth on whether a return was what the customer said it was.

Most of it lives in warehouse systems or free-text notes, disconnected from the customer who sent the return. Connected to that customer, it’s one of the strongest signals for spotting return abuse.

What it includes

  • Condition grade: new, like new, used, damaged or incomplete.

  • Mismatch notes: wrong item, swapped SKU, counterfeit or empty box.

  • Disposition: restock, refurbish, liquidate, donate or write off.

  • Timing: when the item arrived and when it was processed.

Why it matters

Disposition is where the real cost of a return shows up. A return that’s restocked costs shipping and handling. One that’s written off costs the full value of the item. Feeding this data back means future decisions about that customer reflect what actually came back.

How to use it

  • Record grades in structured fields, not just free text.

  • Link every disposition to the order and the customer.

  • Use repeat patterns, like consistently used or incomplete returns, in return decisions.

  • Track write-off rates by product and category to find exposure.

FAQ

Who records disposition data?

Usually the warehouse or a third-party logistics provider during return inspection.

How does it help prevent abuse?

It shows which customers send back used, swapped or empty returns, so their next return can be routed for inspection instead of an instant refund.
